Terms and General Information “Espeye” (2014)
1. Reservation
After receiving your reservation request (by e-mail, mail or telephone), you will receive a confirmation from us together with the invoice for the total booking amount. Once we have received the deposit amount the reservation is final.
2. Rental period
During the high season (June 28 to August 29), the rental period for the cottages is at least 1 week and starts on the first Saturday at 16:00 and ends on the last Saturday at 10:00. In order to get the gites ready for the next rental period, we ask to respect this time of departure, otherwise we’ll have to charge you an extra day. Outside the high season, the cottages can also be rented for example by midweek or weekend. You then pay per night 1/7 of the weekly price.
3. Payment
The deposit (= advance) is 30% of the total amount and must be in our possession within 10 days of receipt of the invoice . The balance of the rental must be paid no later than 8 weeks prior to arrival. For bookings within 8 weeks before the rental period the total rent must be paid immediately upon receipt of the invoice. The total amount must in any case be met before arrival. In case of non-payment on the due date, the landlord is entitled to rent the cottage to third parties and apply cancellation charges as mentioned below.
4. Deposit
Upon arrival, a security deposit of 250 Euro has to be paid. Please note that, to date, you cannot pay electronically, so we only accept cash or check. The deposit will be, if no defects are found at the end of the rental period, immediately returned or offset against outstanding costs. When the cost of damages, breakages, … exceeds €250 an invoice will be raised and forwarded to the client if not settled on departure.
5. Cancellation
Any cancellation must be notified by registered letter. The date of receipt of this letter will determine the cancellation costs: Elke annulering dient te worden meegedeeld via aangetekend schrijven. De datum van ontvangst geldt als bewijs en biedt de mogelijkheid het bedrag van de annuleringskosten te bepalen:
– Cancellation over 60 days before date of arrival:: 15% of the total rent.
– Cancellation between 60 and 30 days: 30% of the total rent.
– Cancellation less than 30 days before entering the rented accommodation: 100% of total rental.
6. Energy
From now on, all heating costs are inlcuded. Wood for the fireplace is available for a small fee (10 euro a wheelbarrow).
7. Cleaning
You are responsable for the final cleaning after your stay when indicated during the reservation. Final cleaning can be provided by us (see rates). In all cases must you leave the house in a clean state. Do not leave any waste behind. Kitchen (think of the oven), as well as the BBQ and fireplace must all be clean. If you don’t leave the house as described above, we can charge an additional cleaning fee.
8. Linen
Bed linen, towels and tea towels: you may bring your own.
You can also hire these from us (please inform in advance).
Bed linen: 10,- euro per set.
Towel set (1 large towel, two small towels, 2 washcloths): 5, – euro per set.
9. Pets and smoking
Pets are allowed with prior approval only. A non-refundable pet fee is charged for each pet that is approved. Smoking is not permitted indoors. Smokers are requested to use an ashtray for cigarette butts and dispose of them in a waste basket afterwards.
10. Maximum number of persons
The number of persons in the cottages must not exceed the sleeping capacity of the cottage and/or the number agreed at time of booking, unless specifically agreed with the landlord. This may incur additional charges. (Additional persons pay a surcharge of 10%). Day visitors are only permitted with prior knowledge and permission of the landlord.
11. Liability
During the stay, the tenant is liable for the cottage, and all its belongings. We are not liable or responsible for damages or inconveniences in any form or by any cause whatsoever, for the tenant and any other person or pet who are in or near the rented house. Despite the extreme careful composition of our holiday homes, we cannot accept liability for inconveniences arising from interim changes of situations beyond our control and/or knowledge .
